PDF to Xero

PDF bank statements into Xero, wherever your organisation is

Xero’s own PDF import is only available to Xero organisations in the US and Canada. Everywhere else, Xero’s help says PDF statements can’t be imported and points to the bank’s export or a conversion service. StatementLoom converts the PDF to OFX or a Xero CSV after checking it against the statement’s balances.

How it works

  1. 01

    Upload the text PDF statement

  2. 02

    Check the balance proof

  3. 03

Download OFX or Xero CSV and import it into the bank account in Xero

Checked before you download

Opening balance plus every transaction must equal the closing balance, and every printed running balance must follow from the row above. If anything is off, you see the exact rows, not a silently wrong file.

OFX or Xero CSV

Xero recommends OFX where possible. The Xero CSV has Date, Amount, Payee, Description and Reference columns with income positive and expenses negative.

Built for bookkeepers

Keep each client’s statements apart in one workspace, with unlimited clients and seats on every paid plan.

Deleted after 24 hours

Uploads and everything read from them are deleted automatically 24 hours after upload (or after 7 or 30 days if your workspace chooses), or right away when you click delete. Your statements are never used to train AI models.

Where Xero reads PDFs, and where it does not

Xero Central says PDF bank statement imports are only available in Xero organisations in Canada and the United States, and not on the Xero Ledger plan. There, the PDF must be in English, 35 MB or less and no more than 100 pages per statement (Xero Central).

Xero’s general import article says PDF bank statements can’t be imported, and suggests the bank’s transaction export or a third-party conversion service instead (Xero Central).

Importing the converted file

  • For a CSV, click the menu icon for the bank account in Xero, then select Import a Statement.
  • For a CSV, assign the Transaction Date and Transaction Amount fields to columns, and confirm the date format if Xero asks. Xero applies the chosen format to the whole statement and later CSV imports (Xero Central).
  • Transactions matching ones already in Xero are treated as duplicates and are not imported. If a whole statement went in twice, Xero lets you delete the entire statement (Xero Central).

Questions

Can Xero UK import a PDF bank statement?
Not directly. Xero’s help says PDF imports are only available to organisations in the US and Canada. Convert the PDF to OFX or CSV first.
OFX or CSV for Xero?
Xero recommends OFX where possible, and says OFX files import without changes to the bank’s export. The Xero CSV works too and is easier to check in a spreadsheet first.
Is the Xero CSV free?
Yes. The free converter reads up to 10 pages a day without an account and downloads the Xero CSV, CSV or Excel. OFX needs a free account.
