How to import a PDF bank statement into QuickBooks

Which route works depends on your QuickBooks. In the US, QuickBooks Online can read an English PDF or image statement directly. QuickBooks Desktop imports bank transactions from .qbo (Web Connect) files, the only type Web Connect can read; QuickBooks Online accepts the same QBO file in its file upload.

How it works

  1. 01

Convert the PDF to a QBO file here and check that it reconciles

  2. 02

QuickBooks Online: Bank transactions → Link account → Upload from file → choose the .qbo file and the account

  3. 03

QuickBooks Desktop (Windows): Banking → Bank Feeds → Import Web Connect Files

Checked before you download

Opening balance plus every transaction must equal the closing balance, and every printed running balance must follow from the row above. If anything is off, you see the exact rows, not a silently wrong file.

Before you import

Make sure the statement period does not overlap one you already imported. StatementLoom warns you when two statements for the same account overlap.

Deleted after 24 hours

Uploads and everything read from them are deleted automatically 24 hours after upload (or after 7 or 30 days if your workspace chooses), or right away when you click delete. Your statements are never used to train AI models.

Route 1: QuickBooks Online’s PDF upload (US)

Intuit’s US help says QuickBooks Online can upload an account statement as a PDF or an image (JPG, PNG or HEIC) from any bank, as long as it is in English. An AI extracts the transactions, and some items may be flagged for review. Go to Bank transactions, open the Link account menu and choose Upload from file (Intuit).

Intuit describes this upload in its US help. Outside the US, check whether your QuickBooks Online offers it, or use Route 2.

Route 2: convert the PDF to a QBO file

Use this for QuickBooks Desktop, outside the US, or when you want to see the balance proof before anything reaches the books.

  1. Upload the PDF to StatementLoom and wait for the balance check. If a row is flagged, fix it so the transactions add up to the closing balance.
  2. Download the .qbo file.
  3. QuickBooks Online: Bank transactions, Link account, Upload from file. Intuit’s US help says QBO, QFX and CSV uploads must be 350 KB or less, and .csv, .qbo or .ofx uploads can have up to 1,000 lines, so split a long period into smaller files (Intuit).
  4. QuickBooks Desktop for Windows: Banking, Bank Feeds, Import Web Connect Files, then choose the existing account or create one (Intuit). Importing Web Connect files needs you to be signed in to your Intuit Account in QuickBooks Desktop (Intuit). Desktop for Mac: Banking, Downloaded Transactions, Import File.

If the import fails

  • “QuickBooks is unable to verify the Financial Institution information for this download.” Intuit’s fixes include using a supported QuickBooks Desktop version and, in Advanced Mode, signing in to your Intuit Account or switching modes; incomplete or incompatible bank files and changes at the bank can also cause Web Connect problems (Intuit). QuickBooks Desktop 2023 was discontinued after May 31, 2026, including uploading transactions.
  • “Nothing imported. Account up to date.” QuickBooks Desktop for Mac stores the ID of every transaction it imports and ignores repeats, so a statement you already imported brings nothing in (Intuit).
  • Desktop and CSV. Intuit documents batch entry from Excel or CSV into bank registers for QuickBooks Enterprise and Accountant only. In other Desktop editions, use the QBO file.
  • Not sure the file is sound? Run it through the free QBO file validator.

QuickBooks Online’s PDF upload or StatementLoom?

In the US, QuickBooks Online can read a PDF statement itself. If that covers you, use it. StatementLoom is for QuickBooks Desktop, for other countries and other software, and for seeing the balance proof first.

Questions

QuickBooks Desktop says it is unable to verify the financial institution. What now?
Use a supported Desktop version and sign in to your Intuit Account in QuickBooks. QuickBooks Online also accepts .qbo files through Upload from file, and 3- or 4-column CSV files. In Desktop, batch entry from Excel or CSV is available only in Enterprise and Accountant.
Can I use the same QBO file in QuickBooks Online and Desktop?
Both accept .qbo files: Upload from file in QuickBooks Online (350 KB and 1,000 lines per upload) and Web Connect in QuickBooks Desktop. Desktop can still refuse a file it cannot verify.
