PDF to QBO

PDF bank statements to QBO, with the balances proven

Upload the PDF your bank gives you and download a QBO (Web Connect) file, the bank file QuickBooks Desktop imports. QuickBooks Online accepts the same file through Upload from file. Before you download, StatementLoom proves the transactions add up to the statement’s own closing balance.

How it works

  1. 01

    Upload the text PDF statement

  2. 02

Review the balance check (and any flagged rows)

  3. 03

Download the .qbo file and import it

Checked before you download

Opening balance plus every transaction must equal the closing balance, and every printed running balance must follow from the row above. If anything is off, you see the exact rows, not a silently wrong file.

Stable transaction IDs

Each transaction gets the same ID every time you export the same statement, so finance software that skips IDs it has already seen does not import it twice.

Long statements

Multi-page statements up to 150 pages and 20 MB per upload, read and checked in one go.

Deleted after 24 hours

Uploads and everything read from them are deleted automatically 24 hours after upload (or after 7 or 30 days if your workspace chooses), or right away when you click delete. Your statements are never used to train AI models.

Importing the QBO file

  • QuickBooks Desktop for Windows: go to Banking, then Bank Feeds, then Import Web Connect Files. Choose an existing account, or create a new one if the account is not in QuickBooks yet (Intuit). Intuit says importing Web Connect files needs you to sign in to your Intuit Account inside QuickBooks Desktop (Intuit).
  • QuickBooks Desktop for Mac: go to Banking, then Downloaded Transactions, then Import File, and pick the .qbo file (Intuit).
  • QuickBooks Online: in Bank transactions, open the Link account menu and choose Upload from file. Intuit’s US help says a QBO, QFX or CSV upload must be 350 KB or less, and a .csv, .qbo or .ofx upload can have up to 1,000 lines, so split a long period into smaller files (Intuit).

When QuickBooks Online’s own PDF upload is enough

Intuit’s US help describes uploading a PDF or image statement straight into QuickBooks Online: an AI reads it, the statement must be in English, and Intuit may flag items for review. If you use QuickBooks Online in the US and that works for your statement, you do not need a converter.

StatementLoom is for the rest: QuickBooks Desktop, which imports bank data from .qbo files; seeing the balance proof before anything reaches the books; and Excel, CSV or Xero copies of the same statement. Intuit describes the PDF upload in its US help, so outside the US, check whether your QuickBooks Online offers it before relying on it.

Before you import

  • Back up first. Intuit warns that an import into QuickBooks Desktop cannot be undone.
  • Avoid overlapping periods. QuickBooks for Mac ignores transactions whose ID it has already stored and shows “Nothing imported. Account up to date.” QuickBooks Online asks you to import files that start after the newest transaction already in the account.
  • Check the Desktop version. QuickBooks Desktop 2023 was discontinued after May 31, 2026, and Intuit says uploading transactions is discontinued on it too.
  • Check the file. The free QBO file validator shows whether a file is well formed before you import it.

QuickBooks Online’s PDF upload or StatementLoom?

In the US, QuickBooks Online can read a PDF statement itself. If that covers you, use it. StatementLoom is for QuickBooks Desktop, for other countries and other software, and for seeing the balance proof first.

Questions

QuickBooks Online can already read PDFs. Why use this?
In the US it can: it reads English PDF or image statements and may flag items for review. StatementLoom is for QuickBooks Desktop, for seeing the balance proof before anything reaches the books, and for Excel, CSV or Xero copies of the same statement.
Which banks are supported?
Any bank or card issuer whose statement is a text PDF (the kind you download from online banking). Scanned or photographed statements are refused with a clear message, and nothing is charged for them.
What happens when a statement does not reconcile?
You see which rows break the running balance and by how much. Fix the row (or add a missing one) and the check re-runs. Downloads unlock once it passes, and pages that never reconcile are not charged.
QuickBooks Desktop says it is unable to verify the financial institution. What now?
Intuit’s Web Connect fixes include using a supported QuickBooks Desktop version, signing in to your Intuit Account in QuickBooks, and, for bank downloads, asking the bank whether the account is set up for Web Connect. If QuickBooks Desktop still refuses the file, QuickBooks Online accepts the same .qbo file through Upload from file, and QuickBooks Enterprise and Accountant can batch-enter the CSV download.
Is the QBO download free?
The free converter reads up to 10 pages a day without an account and downloads Excel or CSV. QBO, QFX and OFX downloads need a free account.
