Import CSV into QuickBooks: format, upload and fixes
How to format a bank CSV for QuickBooks Online in 3 or 4 columns, upload it, handle credit card signs, and what QuickBooks Desktop supports instead.
On this page
QuickBooks Online imports bank transactions from a CSV file in one of two layouts: 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit) (Intuit (opens in a new tab)). You upload the file from Bank transactions with Upload from file. If your bank gives you only a text PDF statement, the free converter turns it into a CSV first.
The 3-column and 4-column formats
Intuit's US help says you can upload a CSV in either the 3-column or the 4-column format (Intuit (opens in a new tab)). The 3-column format has a Date, Description and Amount column. The 4-column format has a Date, Description, Credit and Debit column.
Intuit's UK help says to use the format that matches your bank's export file (Intuit UK (opens in a new tab)). It also gives the sign and column rules:
- In the 3-column format, use negative values for money out and positive values for money in.
- In the 4-column format, enter each amount in either the Credit or the Debit column, not both.
A 3-column file looks like this (example values, dates as dd/mm/yyyy):
Date,Description,Amount
03/09/2026,EXAMPLE PAYROLL,2500.00
05/09/2026,EXAMPLE RENT,-1850.00
StatementLoom offers blank templates for both layouts: 3-column and 4-column. They are StatementLoom's templates, not Intuit's.

Formatting rules Intuit lists
Intuit's US formatting article lists these rules (Intuit (opens in a new tab)):
- Dates. Keep every date in one format. Intuit recommends
dd/mm/yyyy. - Credit and Debit headers. Remove the word
amountfrom these headers, so they read onlyCreditandDebit. - Zeros. Remove any zeros (
0) and leave those cells blank.
Intuit's UK article adds two more (Intuit UK (opens in a new tab)):
- Headers. Only use the headers
Amount,CreditorDebit, with no additional words. - Special characters. These can prevent a successful upload. The article lists the characters to remove from all fields, especially Description.
If your bank adds the day of the week in the Date column, such as 20/11/2022 TUE, Intuit says to split the date and the day into separate columns (Intuit (opens in a new tab)).
Intuit's upload-error article adds two points. QuickBooks can't upload a transaction with 12 or more digits, and the article lists importing to a subaccount as a current limitation, although another section of the same article says you can upload transactions into parent or subaccounts (Intuit (opens in a new tab)).
How to upload the CSV in QuickBooks Online
Intuit's US help gives these steps (Intuit (opens in a new tab)):
- Go to All apps, then Accounting, then Bank transactions.
- Open the Link account dropdown and choose Upload from file. If the account isn't connected to online banking yet, choose Upload from file or Or upload transactions manually.
- On the next screen, check that amounts show correctly as positive or negative. If they are reversed, select reverse all values.
The file must be in English and 350 KB or less. A .csv upload can have up to 1,000 lines, one transaction per line, so split a longer period into several files. The same page suggests a QBO file; see QBO file.
Credit card CSV files
Intuit's US help says credit card CSVs may show transactions in reverse order: deposits may appear as negative amounts because paying the card reduces the balance (Intuit (opens in a new tab)). To add these correctly, choose the credit card account, not a bank account, when you upload.
If the preview shows the signs the wrong way round, use reverse all values on the check screen (Intuit (opens in a new tab)).
QuickBooks Desktop and CSV
QuickBooks Desktop imports bank transactions through Web Connect, and a .qbo file is the only type Web Connect can read (Intuit (opens in a new tab)). On Windows the path is Banking, then Bank Feeds, then Import Web Connect Files (Intuit (opens in a new tab)).
The CSV route Intuit documents for bank registers is batch entry. Only QuickBooks Enterprise and QuickBooks Accountant Desktop support batch entering transactions from Excel or CSV files into bank, credit card, accounts receivable and accounts payable registers (Intuit (opens in a new tab)).
You cannot undo an import in QuickBooks Desktop, so back up the company file first (Intuit (opens in a new tab)). For other Desktop editions, a .qbo file is the route; see import a PDF bank statement into QuickBooks.
Getting the CSV into shape
If your bank's CSV is in the wrong layout, the free bank CSV cleaner reshapes it into the QuickBooks Online 3-column or 4-column layout. It detects the delimiter and comma decimals, asks for the date order when the dates are ambiguous, can flip signs, and lists any rows it skipped. It blocks the download if rows can't be read.
If you start from a PDF statement, StatementLoom reads text PDFs, not scans (bank statement to CSV). It checks that the opening balance plus every transaction equals the closing balance before it allows a download. Its CSV has the columns Date, Description, Amount, Debit, Credit and Balance, so keep Date, Description and Amount for the 3-column layout. Dates are MM/DD/YYYY for USD statements and DD/MM/YYYY for other currencies. With a free account you can download a QBO file instead.
